Managing Teams
This article shows how to create teams, assign resources to teams, and assign teams to projects.
Overview
Team functionality is enabled in a ResourceFirst environment by the Enable Teams checkbox on the Administration > Settings > Features page.

Description
Team – Named teams can be added and deleted. A Team is a member of a resource OBS node, much like resources are members of resource OBS nodes.
Team Member – Resources can be selected as members of teams. Team members have a level of commitment to the team by period. The level of commitment can be more or less than full-time. The automatic, default level of commitment is
1 (100%) every period after the current period;
nothing (0) in periods before the current period;
pro-rata % of time remaining in the current period.
Team members added at the beginning of the third week of May, 2024.

Team Assignment – A team can be assigned to a project on Team Assignment page . Forecast level of effort from the team by period is defined on the team assignment. Team assignments can be created and modified on the Team Assignments page and on any Labor assignment page.
Team Member Assignment – If the user turns Team Assignment Mode off, the Team Assignment row is replaced by read-only team member assignment rows, one for each member of the team.
The period demand values for team member assignments is the product of team member level of commitment to the team times the forecast level of effort on the team project assignment.

Note: The Team assignment has a value of 1 in April 2024, but the Team member assignments have no value in April. The reason is that there is no team member commitment in April 2024 (see above under Team Detail Pages – Team Members).
How To
Create Teams
Step 1: Click the Teams area icon and select the Teams page.

Step 2: Click the “+” Add Team icon.
Enter a team name and select the resource OBS node.

Step 6: Click the Add or Add & Close button.
The Add button leaves the dialog open to create more teams.
Assign Resources to a Team
Step 1: Click the Teams area icon and select the Teams page.
Step 2: Click the Grid mode icon to activate Team Detail pages

Step 3: Select the team member (Resources) page icon.

Step 4: Click the “+” Add Team Members icon.
Step 5: Select a resource OBS node that contains the new team members.
Step 6: Click the selection checkbox for each resource you want to add to the team.
Step 7: If you want anything other than the default timeframe commitment to the team, enter a start date and availability for each of the selected resources in the dialog.

Step 8: Click the Add or Add & Close button.

Step 9: Revise the default availability (DAvail) and period commitment level as needed.
The DAvail field defines the percentage in which the resource should be committed to the team in any future period where the value has not been explicitly set. The default is 1 (100%) stating in the period after the current date period. You can modify this value at a later time as needed.
Note: There is no Save icon on the Team and Team Member pages, but there is on the Team Assignments page. Save is immediate and automatic with changes on the Team and Team Member pages. Team Assignment changes do require the save operation.
Important: Adding a resource to a team includes them on the projects the Team is (or will be) assigned to. Also, keep in mind that you will assign the Team to a project and apply forecasts values to the Team and not all of the individual resources. As a result, this forecast is applied to each team member based on their percent allocated to the Team.
Assign Team to a Project
Step 1: Click the Teams area icon and select the Teams page.
Step 2: Click the Grid mode icon to activate Team Detail pages

Step 3: Select the Team Assignment page icon.

Step 4: Click the “+” Add Team Assignment icon.

Step 5: Select the project and click the Add or Add & Close button.
Step 6: Enter forecast demand for the team in the period date grid.
Step 7: Click the Save icon
View Team Member Assignments
If the Labor page Options > Team Assignment Mode checkbox is checked, Team Assignments are visible, Team Member assignments are not visible.
Step 1: Click the Labor page options icon.

Step 2: Uncheck the Team Assignment Mode checkbox.

Note that demand for team members doesn’t start until they have time committed to the team.
Note also that when team member assignments are displayed, team member assignment demand is team member commitment to the team multiplied by team assignment demand.

Note: Team member assignment rows are locked and cannot be modified. Team assignments CAN be modified.
