Managing Assets

This article describes the functionality for managing assets in ResourceFirst.

Overview

Demand on projects in ResourceFirst is expressed in terms of:

People – resource assignments

Skills – skill assignments

Currency – financial assignments, and

Assets – asset assignments.

A primary difference among these is that only people (resources) and assets have explicit capacity.

An asset can be any object that is utilized in the execution of a project.

Description

There are four pages available to display and manipulate Assets: Data, Capacity, and Utilization in the Asset Area, and Asset in the Assignment Area and in the Project>Data>Detail Area.

         

Assets are created on the Asset>Data page.

Asset objects have the following fields:

Asset – ID, Key, Name, Org (financial OBS path), Active, Cost Rate, Bill Rate, and

Defined and enabled by the administrator
Up to 30 User defined Fields
Up to 20 OBS node level fields

Any of the active fields can be displayed in views on the Asset pages.

Capacity for assets is entered on the Asset>Capacity page.

Note: The unit of supply (and demand) may differ from asset to asset. For example, the unit for 3 mm tubing is probably 1 3 mm tube. But for a fixed asset like a centrifuge, the unit could be shifts and the capacity could be shifts per day, i.e. 2 or 3 or 1.

Asset supply and demand is available on the Asset>Utilization page.

As with Resource Utilization, four data values can be displayed using the data drop down at the upper right on this page.

Asset assignments are created and modified on:

Assignment>Asset page 

Project>Data-Detail>Asset page

How To

Create Assets

Step 1: Go to the Asset Area Data (Asset>Data) page.

Step 2: Click the “+” icon to open the Add Asset dialog.

Step 3: Select a (Financial) cost center for the Asset and enter the asset name.

Step 4: Click the Add button.

Continue adding assets.

Step 5: Click the Close or the Add & Close button.

Note: It is NOT necessary to click the Save icon after adding assets; the dialog saves new assets to the database when the Add or Add & Close button is clicked.

If you are displaying the Asset ID field in your view, you will see a database id when the row is created.

Set Asset Capacity

Step 1: Go to the Asset Area Capacity page (Asset>Capacity).

Step 2: Enter capacity for all assets needing capacity modification.

Step 3: Click the Save icon at the upper right of the page.

Examine Asset Utilization

Step 1: Go to the Asset Area Utilization page (Asset>Utilization).

Step 2: Select data value types from the value type drop-down at the upper right of the page.

Step 3: Export the view with any of the data value types using the export icon at the upper left of the page.

Assign Assets to Projects (Assignment Area)

Step 1: Go to the Assignment Area Asset page (Assignment>Asset).

Step 2: Click the Add Assignment button.

The Add Asset Assignment dialog opens.

Step 3: Select a project in the Project drop-down.

Step 4: Select the (Financial) node in the Cost Center drop-down.

Step 5: Select one or more assets and click the Add & Close button.

Continue selecting assets for different projects or from different nodes until you have created all needed asset assignments.

Step 5: Click the Save icon.

Assign Assets to Projects (Project>Data-Detail)

Step 1: Go to a Project>Data-Detail>Asset page.

Step 2: Click the Add Assignment button to open the Add Asset Assignment dialog.

Step 4: Select the (Financial) node in the Cost Center drop-down.

[It is not necessary to select a project since the Detail Asset page you are on is associated with the project.]

Step 5: Select one or more assets and click the Add & Close button.

OR

Step 6: Select one or more assets and click the Add  button.

Continue selecting assets from different nodes until you have created all needed asset assignments.
Then click the Close button.

Step 7: Click the Save icon.
